Privacy Policy

Effective October 10, 2026 · Updated October 30, 2026 · cloudIMPACT, LLC

1. Introduction

This Privacy Policy explains how cloudIMPACT, LLC (“cloudIMPACT,” “we,” “us,” or “our”) collects, uses, shares and protects information through SalesBell™, our sales tracking, leaderboard and team-recognition application available at salesbell.com and its related web pages, apps and services (together, the “Service”).

SalesBell™ is a trademark of cloudIMPACT, LLC. We are based in Pennsylvania, USA.

This policy applies to visitors to our website, to people who sign up to receive SalesBell updates by email (“Subscribers”), to people who sign up an organization for SalesBell (“Account Owners”), and to the managers, sales representatives and other users that an organization invites (“Users”). By using the Service, you acknowledge the practices described here. If you do not agree, please do not use the Service.

2. Information We Collect

We collect only the information needed to run SalesBell for your organization, bill for it and keep it secure.

Information you provide

  • Account and profile information: name, business email address, password (stored only in hashed form), job title or role, team, profile photo or avatar, and organization name.
  • Sales and performance data: deals, wins, sales amounts, targets, quotas, competition entries, awards, win alerts, comments and other content that Users or their organization enter or import into the Service (“Customer Data”).
  • Billing information: for paid plans, billing contact name, email, billing address and tax details. Payment card details are collected and processed directly by our payment processor, Stripe; we do not store full card numbers on our systems.
  • Communications: messages you send to us, such as support requests, feedback and survey responses.
  • Wins logged with the browser extension: the win you submit from the SalesBell browser extension, as described in Section 5.
  • Live support sessions: when you accept an invitation from our support team to a live session on one of your support requests, the chat messages exchanged during the session are saved to that request. Voice and screen sharing in a live session go directly between your browser and the support person's browser (through a relay server when a direct connection isn't possible) and are not recorded or stored by us. Your microphone and screen are shared only after you turn them on yourself, and you can stop at any time.

Information collected automatically

  • Usage data: pages and features used, actions taken, dates and times of access, and referring pages.
  • How you found us: when you arrive from one of our ads or a link to our website, the campaign tags in that link or the site that linked to us. It is kept in your own browser for up to 30 days and saved with your organization only if you sign up in that time, so we can see which of our ads and partners work. We don’t share it or use it to track you on other sites.
  • Device and log data: IP address, browser type, operating system, device identifiers and error logs.
  • Cookies and similar technologies: described in Section 11.

Information from others

  • An Account Owner or administrator may add you to the Service and provide your name, email and role.
  • If your organization connects SalesBell to another system (for example a CRM), we receive the data your organization chooses to sync.

SalesBell updates (email sign-ups)

When you sign up for SalesBell updates on our splash page, our website or in the app, we collect:

  • What you tell us: your email address and the topics you choose, and, if you add them, your name, company, role and team size.
  • Your consent record: the wording you agreed to, when, and the internet (IP) address it came from, and when you confirmed by clicking the link we email you.
  • How you found us: the campaign tags in the link you arrived from, or the site that linked to us (as described above).
  • Your visits before signing up (with your permission): how many times you visited our website, which pages you looked at, roughly how long you spent, how much of our product video you watched and the plan our plan finder suggested. This is kept in your own browser and sent to us only if you sign up. See Section 11 for when we ask first.

3. How We Use Information

We use information to provide and improve SalesBell, and we do not sell personal information.

  • Provide the Service: create and manage accounts, display leaderboards, run competitions, calculate awards and targets, and send win alerts and notifications.
  • Billing: process subscriptions, issue invoices, calculate sales tax and manage free and paid plans.
  • Support and communication: respond to requests and send service, security and billing notices. We send marketing emails, such as SalesBell updates, only to people who have asked for them and confirmed their email address, and every one of them lets you unsubscribe in one click.
  • Security and integrity: detect, prevent and investigate fraud, abuse and security incidents, and keep each organization’s data separate.
  • Improvement: understand how features are used and fix problems, using aggregated or de-identified data where practical.
  • Legal compliance: meet legal, tax and accounting obligations and enforce our Terms of Service.
  • SalesBell updates: send you the emails you chose, at about the frequency shown on the form, and the confirmation and settings emails that go with them; understand which of our ads, pages and emails work.
  • Security: detect and drop automated sign-ups.

4. AI Sales Coach

The AI Sales Coach is off by default and runs only for organizations whose Account Owner turns it on.

  • Availability: the AI Sales Coach is offered only on eligible plans. When an Account Owner opts in, all Users in that organization can use it.
  • What it processes: the questions and prompts Users submit, plus relevant Customer Data from the same organization (such as deals, targets and performance history) needed to generate coaching responses.
  • AI providers: to generate responses, we send this information to a third-party AI model provider acting as our service provider. We use providers whose terms prohibit them from using our customers’ data to train their models.
  • No cross-organization use: we do not use one organization’s data to coach another organization’s Users.
  • Accuracy: AI responses may be inaccurate or incomplete. Users should apply their own judgment before acting on them.
  • Turning it off: an Account Owner can disable the AI Sales Coach at any time, after which no new data is sent to the AI provider.

5. SalesBell Browser Extension

The SalesBell browser extension for Google Chrome, Microsoft Edge and other Chromium-based browsers lets Users log a win from any web page. It needs a SalesBell account and works only while you are signed in to SalesBell in the same browser. It collects as little as it can to do that one job.

  • When it runs: only when you open its panel, by clicking the SalesBell bell in your browser’s toolbar, using its keyboard shortcut or choosing “Log a win” from the right-click menu. Nothing runs on the pages you visit otherwise.
  • What it reads from the page: when you open the panel, the extension checks the address of the tab you are on, inside your browser, only to tell whether it is a Salesforce opportunity or a HubSpot deal. If it is, the extension reads that deal’s fields shown on the page (amount, close date, account name, product, type and stage) to fill in the form for you. If you highlight text and use the right-click menu, it uses that text (up to 60 characters) to fill in the amount. It reads nothing else on the page.
  • What it sends to us: when the panel opens, it asks SalesBell, using your existing SalesBell sign-in, for what the form needs: your name, your organization, recent accounts and products, and this month’s progress. On a Salesforce or HubSpot deal page it also sends that deal’s record ID, so we can tell you whether the win is already in SalesBell. When you choose to log the win, it sends what is in the form: the amount, date, account, product, type, who should hear about it, your note and, if the form was filled in from the page, the deal’s record ID. That win becomes your organization’s Customer Data, as described in Section 6.
  • What it keeps in your browser: your last choice of who hears about a win, which SalesBell site it connects to (synced to your other browsers if you use your browser’s sync) and any text you right-clicked, which is kept only until the panel opens. Removing the extension deletes these.
  • What it does not do: the extension does not collect your browsing history or activity on other websites, does not read pages you have not opened it on, and sends information only to SalesBell. It contains no advertising, analytics or tracking, and it does not load code from anywhere else.
  • Permissions: it asks your browser for access to the tab you open it on (activeTab and scripting), storage for the settings above (storage), the right-click menu item (contextMenus) and salesbell.com, so it can reach your SalesBell account.
  • Limited use: we use information from the extension only to log and show your wins in SalesBell. We do not sell it, use it for advertising, or use it to decide creditworthiness or for lending, and people at cloudIMPACT do not read it except with your permission, for security or to meet the law. Our use of information received through the extension follows the Chrome Web Store User Data Policy, including its Limited Use requirements.
  • Removing it: you can remove the extension at any time from your browser’s extensions page. Wins you already logged stay with your organization’s other SalesBell data, as described in Section 8.

6. Our Role: Your Organization Controls Its Data

For Customer Data, your organization decides what is collected and how it is used; we process it on the organization’s behalf.

  • For Customer Data, the subscribing organization is the “controller” (or “business”) and cloudIMPACT is the “processor” (or “service provider”). We process Customer Data only to provide the Service and as the organization instructs.
  • For account, billing, website and usage information we collect for our own purposes, cloudIMPACT is the controller.
  • If you are a User invited by an organization, questions or requests about your sales and performance data should go first to your organization’s administrator. We will assist the organization in responding.
  • Your organization’s administrators can see Users’ profile and performance data within that organization.

7. How We Share Information

We share information only with the service providers that help us run SalesBell, and in the limited cases below. We do not sell or rent personal information. We share it for advertising measurement only through the LinkedIn Insight Tag, and only if you choose OK on our website’s visit notice (see Section 11).

Other sharing

  • Within your organization: leaderboards, awards and win alerts are visible to other Users in your organization, as configured by its administrators.
  • Legal requirements: when required by law, subpoena or court order, or to protect the rights, property or safety of cloudIMPACT, our customers or others.
  • Business transfers: in connection with a merger, acquisition or sale of assets, subject to this policy’s protections.
  • With your consent: for any other purpose you or your organization authorize, such as an integration you connect.

8. Data Separation, Security and Retention

Each organization’s data is kept logically separate, protected with industry-standard safeguards, and deleted after the account closes.

Separation: SalesBell is a multi-tenant service. Each organization’s Customer Data is logically isolated, and Users can access only the organization(s) they belong to.

Security: we use encryption in transit (TLS), hashed passwords, access controls limited to personnel who need access, and monitoring for unauthorized activity. No method of transmission or storage is completely secure, so we cannot guarantee absolute security. If we learn of a breach affecting your personal information, we will notify affected organizations and individuals as required by law.

Retention:

  • Customer Data is kept while the organization’s account is active.
  • After an account is closed, we delete or de-identify Customer Data within 30 days, except for limited backups that expire on their normal cycle.
  • Billing and invoice records are kept as long as required for tax and accounting purposes (generally up to 7 years).
  • An Account Owner may export or request deletion of Customer Data before closing the account.
  • SalesBell updates: a sign-up that is never confirmed is deleted after 30 days. Notes about submissions dropped as automated are deleted after 7 days. While you’re subscribed, we keep what’s described in Section 2 and your email activity.
  • When you unsubscribe: we delete everything about you except your email address and the date you unsubscribed, which we keep so we never email you again. If you want that deleted too, email us at the address in Section 14; you could then be signed up again later.

9. Your Rights and Choices

Depending on where you live, you may have rights to access, correct, delete or port your personal information, and we will not discriminate against you for using them.

  • Access and portability: request a copy of the personal information we hold about you.
  • Correction: update inaccurate information; most profile details can be edited in your account settings.
  • Deletion: ask us to delete your personal information, subject to legal retention requirements.
  • Objection and restriction: object to or limit certain processing, including direct marketing.
  • Opt out of sale or sharing: we do not sell personal information or share it for targeted advertising.
  • Withdraw consent: where processing relies on consent, withdraw it at any time.
  • Appeal: if we decline your request, you may appeal by replying to our decision.
  • Unsubscribe: every SalesBell updates email has an unsubscribe link and a link to your own settings page, where you can change topics or stop all updates. Most email apps also show an Unsubscribe button next to our name. If you have a SalesBell account, you can also change them on My desk.
  • Visit history and LinkedIn: choose No thanks on our website’s visit notice, or clear your browser’s site data for salesbell.com, to stop us remembering your visits and to keep the LinkedIn Insight Tag off.

U.S. state privacy laws: residents of California and other states with comprehensive privacy laws have the rights above. You may use an authorized agent; we may need to verify your identity before acting.

EEA, UK and Switzerland: we process personal information based on contract performance, legitimate interests (such as security and service improvement), legal obligations and consent. You may also complain to your local data protection authority.

How to make a request: email us at the address in Section 14. Users invited by an organization may be directed to that organization’s administrator for requests about Customer Data. We respond within the time required by applicable law, generally within 30 to 45 days.

10. Children’s Privacy

SalesBell is a business service for people 18 and older. We do not knowingly collect personal information from children under 16. If we learn we have, we will delete it.

11. Cookies and Similar Technologies

We use cookies that are needed to run the Service, limited analytics cookies to understand usage and, with your choice, browser storage for SalesBell updates and the LinkedIn Insight Tag for ad measurement.

  • Essential cookies: keep you signed in, remember your organization and protect against fraud. These cannot be turned off.
  • Preference cookies: remember settings such as display options.
  • Analytics cookies: measure how the website and Service are used, in aggregate.
  • Browser storage for how you found us: the campaign tags or referring site described in Section 2, kept in your browser’s local storage (not a cookie) for up to 30 days. Clearing your browser’s site data removes it.
  • Your choice on the visit notice: remembered in your browser’s local storage, so we don’t ask again.
  • Visit history: the pages you look at on our website, kept in your browser’s local storage and sent to us only if you sign up for SalesBell updates. In the United Kingdom, Switzerland and the European Economic Area, and wherever we can’t tell where you are, nothing is kept until you choose OK on the notice. Elsewhere it’s kept unless you choose No thanks.
  • Browser extension: uses the sign-in cookie you already have for SalesBell and sets no cookies of its own; what it keeps in your browser is described in Section 5.
  • Bot check: on our sign-up forms, Cloudflare Turnstile may set what it needs to tell people from bots.
  • LinkedIn Insight Tag (advertising): loads on our public website only after you choose OK on the notice, wherever you are. It never loads in the SalesBell app or before you answer. LinkedIn may set cookies to measure which ads led to your visit or sign-up, under LinkedIn’s privacy policy.

The LinkedIn Insight Tag described above is the only advertising technology we use, and it loads only with your OK. You can block or delete cookies in your browser settings, but parts of the Service may stop working. Where required by law, we ask for consent before setting non-essential cookies.

12. International Data Transfers

SalesBell is operated from the United States, and information is stored and processed there. If you use the Service from outside the U.S., your information will be transferred to the U.S. Where required, we rely on appropriate safeguards such as the European Commission’s Standard Contractual Clauses.

13. Changes to This Policy

We may update this policy from time to time. We will post the updated version with a new effective date and, for material changes, notify Account Owners by email or in the Service before the changes take effect.
